This Privacy Notice (“Privacy Notice”) describes how your personal information is collected, used, and shared when you apply for employment or other type of engagement with MGID.

We kindly ask you to read this Privacy Notice carefully before using the website and providing us with any personal data. In this Privacy Notice, “personal data” and “personal information” are used as synonyms.

This Privacy Notice does not apply to MGID employees. If you are currently employed by MGID, please refer to the Employee Privacy Notice.



SECTION 1: WHO IS THE CONTROLLER OF YOUR PERSONAL INFORMATION

We are MGID Inc. with registered office at 451 N Canon Drive, Suite #2, Beverly Hills, CA 90210, USA, and our affiliates: MGID Asia Pte. Ltd., MGID Brasil Publicidade Ltda, MGID S.R.L., MGID Germany GmbH, MGID Vietnam Company Limited, Bangkok Search Technologies Limited, MGID India Private Limited (“MGID” separately or jointly “MGID Group”, “we”, “our”, “us”).

MGID Inc. acts as a data controller for all recruitment and related processes across the MGID Group. We may also involve additional MGID companies mentioned above to act as a joint controller together with MGID Inc., depending on the position and location you are applying for. The company where you may potentially be employed may be directly involved in processing and evaluating your application.



SECTION 2: PERSONAL INFORMATION WE COLLECT

For purposes of this Privacy Notice, when we mention “personal information”, we mean any information that is about you.

We collect and process different types of personal information about MGID applicants and candidates. For example, we may process the following personal information about you:

Contact Information your full name, email address, phone number, and residence address (optional).

Application Information information included in your CV and other application documents (for example, work history, professional background and qualifications, education information, including degrees awarded, transcripts); portfolio (mandatory for some positions, such as UI/UX designer, UX researcher, etc.); date of birth (optional), signature, diplomas, certificates (optional).

Financial Information information on your salary expectations.

Photographs when you provide us within your CV.

Other Information other information that you may share with us, such as your social media accounts (LinkedIn, Facebook, X, or Instagram), instant messenger(s) ID (optional).



SECTION 3. FOR WHAT PURPOSES DO WE PROCESS YOUR PERSONAL INFORMATION

 Your personal information is collected and processed for various business purposes, as set out in this Privacy Notice. We also describe the data categories that we process for each purpose and our lawful basis for undertaking the processing purpose we have described under the European Union’s General Data Protection Regulation.

  1. Recruitment and selection — this processing is necessary to take steps at your request prior to entering into an employment contract. It includes evaluating your application, assessing your suitability for the position you applied for, and conducting interviews.

  2. Vetting and background checks — if you apply for certain positions at MGID, we may process your data to conduct pre‑employment vetting and background screening. This may include right‑to‑work verification, criminal record checks (where permitted by applicable laws), and verification of relevant employment history and professional qualifications.

  3. Job offer — if you are selected during the recruitment process, we will process your personal information to issue a job offer and communicate with you regarding the next steps.

  4. MGID talent pool — this processing is necessary for the purpose of contacting you about future job opportunities that align with your experience and qualifications.

  5. Analytics and statistics — we may process applicant data for analytical and statistical purposes to improve the effectiveness, fairness, and efficiency of our recruitment processes.

  6. Improving business processes — this includes reviewing our recruitment processes and tools to enhance recruitment practices and overall efficiency.

  7. Data subject requests and enquiries — we process personal information as necessary to respond to data subject requests and general enquiries.



SECTION 4. HOW WE SHARE YOUR PERSONAL INFORMATION

We may share your personal information if it is reasonably necessary to process your application or for other employment-related purposes. In particular, your personal information may be shared with the following categories of recipients:

  • Our service providers and vendors, who perform certain functions on our behalf or provide services to us, include IT service providers, accounting firms, and hosting service providers.

  • Our subcontractors and team members, including support, technical, and other relevant teams involved in the recruitment or onboarding process.

  • Public authorities, where required by law, for security purposes, or in connection with criminal or regulatory investigations.

  • External advisors, including legal counsel, for the purpose of establishing, exercising, or defending legal claims or managing regulatory proceedings.

  • Our affiliates, for recruitment, administrative, or internal management purposes.

  • External recruitment agencies and referral partners, for recruitment and talent‑sourcing activities.

Please note that we may need to share your data with other parties in connection with your application and recruitment process. This list is non-exhaustive.



SECTION 5. INTERNATIONAL DATA TRANSFERS

MGID is a global company, and for the purposes of your recruitment and employment, it may be necessary to transfer your personal information internationally, i.e., outside of the country where it was originally collected or outside of your country of residence.

In cases of transfer of your personal information that originates in the European Union, the United Kingdom, or Switzerland to a country outside the EU, the UK, or Switzerland, we will ensure such transfer is made in accordance with applicable laws. We use a variety of legal mechanisms, including Standard Contractual Clauses adopted by the European Commission, to ensure your rights and protections when transferring your data.



SECTION 6. HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION

As a general rule, we retain your personal information only for as long as necessary to fulfil the purposes for which it was collected and in accordance with applicable legal requirements. Once the relevant retention period expires, your data will be securely deleted or anonymised.

In particular, your personal information will be retained as follows:

  • Data relating to recruitment of successful applicants: personal information collected during the recruitment process, including information provided in your application, will be added to your HR file and retained for the duration of your employment.

  • Data relating to recruitment of unsuccessful applicants: personal information will be retained only for as long as necessary to fulfil the purposes of the recruitment process and to comply with applicable legal obligations or establish, exercise, or defend legal claims.

  • Data relating to talent pool candidates: personal information processed for talent-pool purposes will be retained only for as long as necessary to consider candidates for future employment opportunities and in accordance with applicable data protection laws.

We may retain your personal information to comply with applicable regulations (e.g., tax or accounting) or to defend against legal claims. Please contact us if you want to know more about how long we will keep your data.



SECTION 7. YOUR RIGHTS AS A DATA SUBJECT

Please note that if you are an EEA resident, the European Union’s General Data Protection Regulation applies to the processing of your personal information. We also apply substantially the same standards of data protection to all of our applicants, taking into account (if any) limitations, exemptions, or privileges imposed by your national law.

Below, you may find more detailed information on the rights that you may be able to exercise in relation to the personal information we collect and process about you:

  • right to access — you are able to request access to your personal information that we store about you. You may also ask us to provide a copy of your personal information processing.

  • right to rectification — you have the right to correct inaccurate (for example, old or incorrect) personal information related to you that we maintain.

  • right to erasure or the right to be forgotten — you have, under certain circumstances, the right to request the erasure of your personal information.

  • right to restrict processing — you may request us to stop processing your personal information in certain circumstances.

  • right to data portability — in certain circumstances, you can ask MGID to provide you a copy of your personal information in a structured, electronic format, or to transmit it directly to another data controller, where technically feasible.

  • right to object — you have the right to object to the processing of your personal information at any time, where we process your data based on our legitimate interests.

  • right not to be subject to automated decision making and profiling — currently, neither we nor the Website uses your personal information for profiling or decisions made solely by automated means.

You have a right to lodge a complaint with a data protection authority in a country where you either reside, permanently live, work, or in a country where data protection infringement takes place.
