Assistant of Legal Department

We are looking for a Legal Assistant to join our Legal Department and support its day-to-day administrative and operational activities. This is a great opportunity for a junior legal professional who wants to develop strong practical skills in contract management, legal documentation, and internal processes. The role is designed for a junior level with strong growth potential, who will provide administrative and operational support to the Legal Department, while also assisting the HR function on employment-related matters.

What You’ll Do:

• Supporting the Legal team with administrative and operational tasks, including translations, preparation and maintenance of standard templates, document formatting, coordination of internal requests, and support with the department’s day-to-day administrative needs;

• Assisting with standard legal documentation, including preparation of basic drafts, template-based documents, simple amendments, powers of attorney and other routine legal materials under the supervision of responsible lawyers;

• Providing technical and administrative support for contract approval and signing processes, including creation and tracking of approval requests, coordination of comments and approvals, preparation of documents for signature, monitoring signing status, uploading signed documents to the relevant systems, and maintaining contract records;

• Supporting the maintenance of templates, contract repositories, trackers and internal legal databases, ensuring consistency, completeness and proper organization of legal documents and related information;

• Assisting with contract management and document control processes, including tracking contract statuses, renewal / expiration dates, responsible owners, approval history and availability of signed versions;

• Supporting the Legal team in identifying and escalating basic legal, documentation or process-related risks arising in day-to-day contract management, document flow and administrative operations.

  Administrative & Operational Legal Support

• Provide day-to-day administrative and operational support to the Legal Department, including translations, document formatting, coordination of internal requests, and support with the department’s daily administrative needs.

• Assist with the preparation, organization, filing, and maintenance of legal documents, legal files, correspondence, and supporting materials.

• Support the preparation and maintenance of standard templates, ensuring consistency, accuracy, proper formatting, and use of approved document versions.

• Assist with standard legal documentation, including preparation of basic drafts, template-based documents, simple amendments, powers of attorney, internal forms, and other routine legal materials under the supervision of responsible lawyers.

Contract Approval & Signing Process Support

• Provide technical and administrative support for contract approval and signing processes, including creation and tracking of approval requests, coordination of comments and approvals, preparation of documents for signature, and follow-up with relevant stakeholders.

• Monitor contract approval and signing status, ensure that all required approvals are properly documented, and support timely completion of the signing process.

• Upload signed contracts and related supporting documents to the relevant systems, maintain contract records, and ensure that final versions are properly stored and accessible.

• Assist with contract management and document control processes, including tracking contract statuses, renewal / expiration dates, responsible owners, approval history, and availability of signed versions.
  

Templates, Repositories & Internal Documentation

• Support the maintenance of contract repositories, trackers, internal legal databases, and other Legal Department records, ensuring consistency, completeness, accuracy, and proper organization of legal information.

• Help maintain version control and accessibility of standard templates, internal legal documents, policies, instructions, and process-related materials.

• Assist in the preparation and update of internal policies, procedures, guidelines, and legal process documentation under the supervision of responsible lawyers.
  

Reporting & Process Support

• Assist in preparing legal summaries, internal notes, basic memorandums, status updates, and reports related to contracts, approvals, document flow, and other Legal Department processes.

• Support document tracking, follow-up on pending legal requests, and coordination with business teams to ensure that require information and documents are provided on time.

• Identify and escalate basic legal, documentation, approval, or process-related risks arising in day-to-day contract management, document flow, and administrative operations.

Who You Are:

• You hold a Bachelor’s or Master’s degree in Law

• You have 1+ years of relevant professional experience

• Ability to translate complex legal requirements into clear, practical guidance for stakeholders

• Strong attention to detail and a structured, organized approach to work

• Ability to manage multiple tasks and priorities in a fast-paced environment

• Ability to collaborate across time zones; excellent written and verbal communication.

Languages proficiency:

• Ukrainian - Fluent

• English - Advanced
